What is sales admin work, and how much of the week does it take?

Sales admin work is everything a revenue team does to keep its systems current instead of talking to customers: logging the call, updating the opportunity stage and next step, writing the follow-up, attaching the document that was promised, opening the ticket for the feature request, handing the account to customer success, and flagging the renewal that is drifting.

It is the largest single cost in most revenue teams that nobody budgets for. Salesforce's sixth State of Sales report, a 2024 survey of 5,500 sales professionals, found reps spend 70 percent of their time on non-selling tasks such as manual data entry and administrative work. An earlier edition found two thirds of reps feel overwhelmed by the number of tools they use, and that the average team uses ten tools to close a deal.

Customer success teams carry the same weight from the other side of the signature: notes from the onboarding call, tasks in the success platform, tickets in Jira, the QBR deck rebuilt from scratch every quarter. The work is necessary. People doing it by hand is not.

Why do reps hate updating the CRM?

Because the CRM asks them to do clerical work after the part of the job they are paid for has already happened. The call is over, the next call starts in four minutes, and the update is a form with fifteen fields. So it gets done late, done thin, or not done at all, and the record decays.

That decay is not a discipline problem. It is a design problem. A system that depends on busy people transcribing what they just heard will always lag behind what actually happened, and every report, forecast and handoff built on top of it inherits the gap. The fix is not another reminder in Slack. It is taking the typing away.

What does Service as a Software actually mean?

Service as a Software means buying the finished work, delivered by software, instead of buying a tool and doing the work yourself. The phrase comes from Foundation Capital, which in 2024 described a shift from Software as a Service to Service as Software and sized the work it could reach at 4.6 trillion dollars. In their words, software is no longer a tool for organizing work: it is becoming the worker itself.

Sequoia made the same argument in 2026 in an essay titled Services: The New Software, as reported by Fortune: for every dollar spent on software, six are spent on services, and a copilot sells the tool while an autopilot sells the work.

In plain terms there are three ways to get work done. Software as a Service sells you a login, and your people still do the work. An agency or outsourcer sells you hours, and the work lives in their heads and leaves when they do. Service as a Software sells you the outcome: the work runs as software, inside your systems, and it keeps running.

Two honest caveats. AI agents are the mechanism, not the offer; an agent with no context, no permissions model and no approval step is a demo, not a service. And outcome-based businesses have thinner margins than classic SaaS, because every outcome costs real compute. Sierra's Bret Taylor put the likely figure at around 70 percent instead of 90. We price for that, and we say so.

Where does GTM engineering fit?

Almost everything written about GTM engineering is about the top of the funnel: enrichment, list building, outbound sequences. That is real work, but it is not where most of a team's hours go. The hours go to what happens after the conversation: the update, the follow-through, the handoff, the renewal.

The one thing: we take the admin away

Revenue teams should spend their time on their core business: understanding customers, selling, delivering what was promised. Not on keeping tools current. That is the whole idea, and it is the one thing we want to be remembered for.

Here is what it looks like after a single customer call. The transcript is read against the account's history. The CRM stage, next step and close date are drafted. The follow-up email is drafted with the security document the customer asked for attached. A Jira ticket is drafted for the feature request, linked to the account. If the call was a handoff, the customer success pack is assembled with every promise traced to where it was made. Nobody typed any of it.

Anything a customer will see waits for a person to approve it, usually in under two minutes a call. Internal record-keeping can run automatically once your admin decides it should. Why not let AI do it all unsupervised?

Because the cost of a wrong email to a customer is higher than the cost of a two-minute review, and buyers know it. In a 2025 Harvard Business Review Analytic Services survey, only 6 percent of companies said they fully trust AI agents to run core business processes on their own.

So we split the work by consequence. The machine does the reading, matching, drafting and filing. Forecasts and reports get better without anyone being asked to be more disciplined, because the record now reflects what actually happened.

Our first engagement shows the shape of it. At Bijliride, an EV mobility company, leads lived in spreadsheets, a calling platform and an app database. We reconciled about 60,000 unique lead numbers against 138,000 registrations and found that almost half of the leads were already customers, including 1,518 active, paying riders who were still being cold-called. How to tell if a GTM engineering partner will actually remove admin

Ask where the work runs. If it lives in their workspace, you are renting it. It should run in your CRM, inbox and help desk, and you should keep it if you leave.

Ask what happens to a customer-facing action before it goes out. The answer should name a person on your team, not a confidence score.

Ask for the log. Every write should have a record of what changed, who approved it, and how to undo it.

Ask what they measure. Admin removed should be measured against a baseline from your own team, not quoted from a brochure.
